Tools I've built. Ready to use.

Healthcare staffing is full of slow, manual processes. I've built the tools to fix them, and you can buy them as-is or have me customise them to your workflow. No multi-month integration project required.

01 — Shift Booking

Booker Bot

Self-contained shift-booking tool. Watches client portals, matches available workers, books the shift. Seconds, not minutes.

Built for Healthcare, nursing, doctor, and ad-hoc staffing agencies
Deployment Self-contained: drop in, configure, run
Integration Works with your existing portal access; no API rewrites

What it does

Clients post shifts to agency portals, sometimes seconds before they need cover. The race is on: the first agency to confirm a qualified, available worker books the shift. Manual processes lose to agencies with automation.

Booker Bot closes that gap. It watches the portals you tell it to watch, matches incoming shifts against your available workers (qualifications, location, preferences, blacklist), and books the best fit. Faster than any human can.

What it replaces

  • Manually refreshing agency portals every few minutes
  • Cross-referencing availability lists in spreadsheets
  • Calling or texting workers to confirm availability
  • Typing shift details back into your system to book
  • Losing shifts to faster competitors
Typical performance: shift booking reduced from 30–60 seconds to under 6 seconds. Agencies running Booker Bot report 5–10× more shifts booked per worker per week.

How it works

Booker Bot runs as a self-contained tool. You point it at your portals, set your matching rules (which workers qualify for which shift types, blackout dates, pay rates, distance), and turn it on. It works 24/7, only flags shifts it can't auto-book, and keeps a full audit log.

What it costs

Licensed per agency. Setup and matching-rule configuration included. Monthly support and update tier available. Get in touch for pricing →

02 — Compliance

Registration Checker

Automated daily check of healthcare professionals' registration status. Alerts the moment something is at risk. Audit-ready, all the time.

Covers NMC, GMC, HCPC, DBS, and most sector-specific registers
Run frequency Daily automatic checks; instant alerts on status change
Output Email, SMS, or webhook alerts; full audit log

What it does

Healthcare professionals' registrations expire, get suspended, or carry conditions. Booking a worker whose pin has lapsed is a compliance failure that can shut down an agency. Most growing agencies have someone who sits there all day manually checking register sites. That's a full-time salary for a job a tool can do.

Registration Checker does it for you. Every day, it checks every worker on your roster against the relevant professional registers. If anything changes, like an expiry approaching, status altered, or new condition added, it flags it immediately. Your team only deals with the exceptions.

Why it matters

  • One missed renewal can lose a contract, or worse, trigger a framework audit
  • Manual checks are error-prone and don't scale beyond 50 workers
  • Auditors want to see evidence of checks. Monthly is the minimum, so why not weekly to be safe?
  • Workers don't always tell you when their registration changes
  • Time spent chasing workers for evidence is time not spent on shifts
Audit-ready by default: every check is timestamped, logged, and exportable. When a CQC or NHS framework audit asks for proof, you have a one-click report.

How it works

Upload your worker list (CSV or connect to your CRM). The Checker takes over from there: it runs checks daily, sends alerts to whoever you specify, and stores the full history. Setup is typically under an hour.

What it costs

Per-worker monthly pricing. Volume discounts for agencies over 100 workers. Get in touch for pricing →

03 — End-to-End

Healthcare Agency CRM

One system for the whole agency. Onboarding, compliance, availability, booking, timesheets, invoicing. Replaces the spreadsheet chaos with one platform.

Built for Healthcare staffing agencies, 5–200 workers
Modules Onboarding, compliance, availability, shifts, timesheets, invoicing, payroll export
Hosting Self-hosted or cloud, your choice

What it does

Most healthcare staffing agencies run on a Frankenstein stack: a CRM here, a spreadsheet there, email threads for compliance, paper files for right-to-work, a separate invoicing tool, and a manager's memory for who can work where. Every growing pain gets papered over. Nothing works together.

The Healthcare Agency CRM replaces all of it. One system, one login, one source of truth, from the moment a worker applies to the moment their invoice is paid. Built specifically for the workflows of healthcare staffing, not adapted from a generic SaaS.

What's included

  • Onboarding: application forms, right-to-work checks, references, DBS tracking, contracts
  • Compliance: registration expiry, training certificates, mandatory training reminders, document storage
  • Worker profiles: qualifications, specialisms, location radius, availability windows, pay rates, blacklist
  • Shift booking: matches shifts to workers, sends confirmations, handles cancellations and re-books
  • Timesheets: worker-submitted, client-approved, exported to payroll
  • Invoicing: auto-generated from approved timesheets, sent to clients, payment tracking
Why agencies switch to it: one source of truth means no more "I thought Sarah was available" arguments. One login means no more password resets. One invoice flow means no more chasing payments through three different tools.

Why it's different

Generic CRMs (Salesforce, HubSpot) don't understand healthcare. Off-the-shelf staffing tools (Bullhorn, TempBuddy) are built for general staffing and assume you'll configure them yourself. The Healthcare Agency CRM is built around the actual workflows of locum and ad-hoc healthcare agencies — and it's yours, not a per-seat rental.

What it costs

One-time licence, optional monthly support and hosting. Get in touch for pricing →
